2009 EFN Asia International Conference: Pre-departure Guideline PDF Print E-mail


Pre-departure Guideline

This page is intended to provide participants with information and details relating to your travel to Siem Reap. All participants are required to register.

Please note that we may not be able to process travel and other arrangements if we do not receive the completed registration form.

1. Visa requirements

Please check with the Cambodian embassy/consulate in your country, and inform us (Email: This e-mail address is being protected from spambots. You need JavaScript enabled to view it ) if an official letter of invitation is required for visa application.

Normally, visas are available on arrival at the international airports, and at border crossings. Two passport photos are required.

2. Flight tickets

For participants coming from India, Indonesia, South Korea, Pakistan, Sri Lanka and Thailand, our FNF representatives will purchase your flight tickets. It is important that you contact our FNF representatives about this arrangement.

All others are required to purchase your own flight tickers (most economical economy roundtrip ticket from your country of origin), and subsequently, become eligible for reimbursement following presentation of receipts and documents.

Please note:

All international participants are expected to arrive on Thursday 8 October 2009.

If attend the members meeting, you may leave in the evening of Sunday 11 October 2009, or Monday 12 October 2009.

Otherwise, you may leave in the evening of Saturday 10 October or Sunday 11 October 2009.

In order to facilitate room assignments, please send your final flight itinerary to us by 15 August 2009 at the latest, via email or by fax at +662 7148384.

3. Reimbursement

(Please note: only members, presenters and invited guests are eligible for reimbursement)

Participants, who have purchased their own flight tickets, are advised to send all necessary documents for reimbursement (as specified below) to Ms. Krittiya Sintupongphan of the FNF Regional office in Bangkok.

Important details:

1.      Please note that for reimbursement of your travel expenses, you will need to provide the following documents:
  • The original receipt for purchase of ticket,
  • Used tickets and boarding passes,
  • Receipts for any visa fees,
  • Receipts for any airport fees in your country of departure

Please send all documents only by REGISTERED mail (FedEx, DHL, UPS etc.)

2.      If, for personal reasons, you chose air travel in a different class than provided by FNF, or by other than the most economical route, please send a statement from the travel agency showing the price of the ticket for travel by economy class via the most economical route.

3.      If any receipts are in a language other than English or German, please translate the basic details (date, what was paid for, the name of the customer, and the name of the travel agency).

4. Airport transfers

The journey between the airport and the hotel will take approximately 15 minutes.

Airport transfers have been arranged for you with the Sofitel Hotel. After claiming your baggage, please proceed to the Sofitel Hotel counter (located on the left, past arrival gate) and give your name to attendants.

Upon departure, please make your way to the hotel reception, an assigned staff will arrange your airport transfer.

5. Accommodations

Accommodation will be provided at the Sofitel hotel (which is also the conference venue). The hotel address is:

You will be provided with a single occupancy room (with complimentary breakfast). Room service, telephone calls, mini bar, laundry and other personal expenses shall be borne by the participants.

For participants attending the conference on a self-financing basis, we will make the room reservations for you in accordance to the arrival/departure information provided in your flight itinerary. You will be required to pay for your room charges directly to the hotel.

6. Meals

Lunches will be provided for the two days of the conference (9-10 October 2009). You are invited to attend the Welcome Reception (8 October 2009) on the Hotel's poolside and the closing dinner (11 October 2009) at the Foreign Correspondents Club (more information regarding transport will be announced at the conference). There will be no dinner provided on 9 October 2009.

7. Conference venue

The Conference will take place in Naga and Rainbow Rooms at the Sofitel hotel

8. Registration desk

During the days of the conference, the registration desk will open from 8:30 a.m. to 9:00 a.m.

Please present your Registration Confirmation letter at the registration desk, the Registration Confirmation letter indicates your registration number. We will process your registration according to the registration number.

9. Speaker preparation

Time allotted for panellists will be 15 minutes (with 10 minutes available at the end of the session for Q&A)

Standard equipment in the conference room includes a podium with microphones, data projectors and laptop computers (CD-Rom) and overhead projectors.

If speakers wish to bring their own equipment, they are advised to bring appropriate plugs and transformer with them to accommodate equipment (as electronic currents and plugs and sockets may not be compatible).

Speakers requesting other facilities should send us their request by 15 September 2009.

10. Attire

Smart casual for the conference and dinners.

11. Dietary and disability requirements

If you have not done so, please advise us of your special dietary or disability requirements.

12. Language

The official language of the EFN conference is English.
